By using the PINGBOX platform (hereinafter: the "Site", the "Platform" or the "Store"), users (hereinafter: the "Customer" or the "Client") accept these Terms in full and confirm that you have read and understood the conditions under which we process your personal data.

PINGBOX is a self-service table tennis venue based in Novi Sad, Serbia. Our platform includes the website available at pingbox.rs, as well as the online booking system.

The collection, processing and storage of personal data is carried out in accordance with the Personal Data Protection Law ("Official Gazette of the Republic of Serbia", no. 87/2018).

In this Privacy Policy, the following terms have the meanings set out below:

Personal data: any information relating to a natural person whose identity is determined or determinable, directly or indirectly (first name, last name, email address, phone number, etc.).

Data processing: any action carried out on personal data: collection, storage, use, disclosure or deletion.

Controller: PINGBOX, which determines the purpose and the means of processing personal data.

Consent: a freely given, specific and unambiguous expression of the user's agreement to the processing of their personal data.

3. What data we collect

3.1 Booking data

When you book a session through our system (Amelia), we collect:

    • First and last name

    • Email address

    • Phone number

    • Booking details (date, time, duration, amount)

    • Other (optional)

3.2 Usage data

We automatically collect technical data about your visit to the website:

    • IP address

    • Device and browser type

    • Pages visited and time spent on the site

Note: We do not collect sensitive personal data (racial or ethnic origin, health status, biometric data, etc.). We do not collect data from children under the age of 18.

4. Purpose of data processing

We use your data solely for the following purposes:

Booking management: confirming sessions and sending the access code for entering the venue

Communication: answering your enquiries by email

Service improvement: analysing visits and use of the platform

Legal obligations: retaining data in accordance with applicable regulations

5. Processing principles

PINGBOX processes your personal data in accordance with the following principles:

Lawfulness, fairness and transparency: data is processed in a lawful and fair manner.

Purpose limitation: data is not used for purposes other than those stated in this Policy.

Minimisation: we collect only the data necessary to provide the service.

Accuracy: we take measures to keep the data accurate and up to date.

Storage limitation: data is kept only for as long as necessary.

Integrity and confidentiality: we apply appropriate technical and organisational protection measures.

6. Third parties and processors

To provide our services we use the following trusted partners, who may access your data solely for the purpose of providing their own services:

    • Amelia : online booking system. Amelia acts as our data processor and processes users' personal data solely on behalf of and under the instructions of PINGBOX, in accordance with its own Privacy Policy (available at https://wpamelia.com/) and the Data Processing Agreement concluded between PINGBOX and https://wpamelia.com/.

    • Access control system or smart locks: generates and delivers the entry codes for the venue

All of the partners listed above process data in accordance with their own privacy policies and the applicable data protection regulations. PINGBOX does not sell or rent your data to third parties for commercial purposes.

7. Data retention

We keep your personal data for as long as necessary to fulfil the purpose for which it was collected, and for no longer than 2 years from your last booking or contact. After that period, the data is deleted or anonymised.

8. Your rights

In accordance with the Personal Data Protection Law, you have the following rights:

Right of access: you can request to see all the data we hold about you.

Right to rectification: you can request the correction of inaccurate or incomplete data.

Right to erasure: you can request the deletion of your data, subject to the statutory retention periods.

Right to object: you can object to certain forms of processing.

Right to lodge a complaint: you have the right to contact the Commissioner for Information of Public Importance and Personal Data Protection.

9. Data security

We apply appropriate technical and organisational measures to protect your data from unauthorised access, loss or misuse. Only the people who need it to carry out their work have access to personal data.

10. Changes to the Privacy Policy

We may amend this Privacy Policy from time to time to keep it aligned with changes in our business or with legal requirements. Every change will be published on the pingbox.rs website, with the date of the last amendment indicated. We recommend that you check this page from time to time.
